Seller Guidance:

This is an example product for a field trip that has one deposit payment and two further instalment payments.

Instead of requesting three individual products, you can request one product with the deposit and instalment payments in the drop-down menu. Exact prices can be added later.

When requesting field trip products, the GL code will always be 970415 (contribution to student travel), and Vat Exempt.

You can ask us to state the deposit is non-refundable if you wish.

If you need to gather information from students for the travel agent (e.g. passport numbers) then we recommend this is done by the selling department outside of the store environment (e.g. by Microsoft Form) so that you can control Data Retention. (The store retains the full payment record, and we are unable to destroy part of that record.)

Payer Guidance:

The total cost of this trip is expected to be between £550 and £600. Exact costs are determined by our Travel Agent, once all deposits are paid.

• Instalment 2 amount is expected to be between £200 and £250 and is due around (insert estimated date)
